Booking Terms & Conditions

These terms and conditions apply to all expeditions, workshops, tours, photography training, and experiences provided by Andy Keen / Keen Astro (“we”, “our”, “us”).By booking, paying a deposit, or participating in any activity organised by us, you confirm that you have read, understood, and agree to these terms.

1) Payments & Pricing

The full price of each expedition or experience is published on the relevant experience page and confirmed at the time of booking. Deposit A non-refundable deposit (amount specified on the experience page) is required to secure your place. Final Balance The remaining balance must be paid no later than 90 days before the start date. Late Bookings Bookings made within 90 days of the start date must be paid in full at the time of booking. Important Notice We provide individual guided experiences and educational activities. We do not sell or arrange package holidays. Unless explicitly stated, the following are not included and must be arranged independently by the participant: • Flights • Accommodation • Meals and drinks • Personal insurance • Personal equipment Any services booked separately by the participant are not part of our contract and remain the responsibility of the respective provider.

2) Cancellations by You

Experiences that take place on a specific date are exempt from the standard EU/UK 14-day cooling-off period under the scheduled leisure activity exemption. However, we offer the following goodwill policy: Within 14 days of booking A full refund minus payment processing fees (typically around 3% + €0.25), provided the event has not yet begun. More than 90 days before the start date Your deposit remains non-refundable but no further payment is required. Within 90 days of the start date Payments are non-refundable. We strongly recommend comprehensive travel insurance covering: • cancellations • illness or injury • lost flights • accommodation costs • travel disruption • equipment loss or damage.

3) Cancellations or Changes by Us

We reserve the right to cancel or modify an experience due to circumstances beyond our control including but not limited to: • illness or injury • unsafe environmental conditions • severe weather • transport disruption • government restrictions • insufficient participant numbers If we cancel an experience you will receive either: • a full refund, or • the option to transfer your booking to another available date. We cannot accept liability for additional expenses including flights, accommodation, equipment hire, or other travel costs.

4) Force Majeure

We are not liable for failure to deliver or alterations to an experience caused by events outside our reasonable control including but not limited to: • extreme weather • natural disasters • volcanic activity • solar storms affecting transport • political events • pandemics or public health emergencies • government travel restrictions • transport strikes or cancellations. In such cases we will make reasonable efforts to reschedule or offer alternative arrangements where possible.

5) Weather, Nature & Astronomy

Many of our experiences involve observing natural phenomena such as: • the Northern Lights • meteor showers • eclipses • astronomical events. These phenomena depend on natural conditions beyond our control. Sightings cannot be guaranteed. Weather conditions, cloud cover, solar activity, safety considerations, or local regulations may require adjustments to timing, locations, routes, or session duration. Safety considerations may require cancellation or modification at short notice.

6) What’s Included

Only the services explicitly listed on the experience page are included. Examples may include: • guiding • photography instruction • local excursions • entrance tickets • transport during the experience.

7) What’s Not Included

Unless explicitly stated, the following items are not included: • Flights to/from the destination • Accommodation • Meals and drinks • Travel and health insurance • Optional activities • Personal clothing and equipment • Photography gear.

8) Participant Responsibility

Participants are responsible for ensuring they are physically capable of taking part in the experience. You must: • follow all safety instructions • behave responsibly towards other participants • respect local laws and environments. Participants under the influence of alcohol or drugs may be refused participation without refund. We reserve the right to remove any participant whose behaviour: • endangers the group • disrupts the experience • damages property or equipment.

9) Assumption of Risk & Liability

Outdoor and travel-based experiences involve inherent risks including but not limited to: • uneven terrain • extreme temperatures • darkness and reduced visibility • wildlife encounters • transport risks. By participating you acknowledge and accept these risks. To the fullest extent permitted by law, Andy Keen / Keen Astro shall not be liable for: • personal injury • loss or damage to equipment • travel disruptions • missed flights • accommodation losses • indirect or consequential losses. Liability is limited to circumstances caused by proven negligence on our part.

10) Travel Responsibility

Participants are responsible for arranging travel to and from the meeting location. As we do not provide flights or accommodation, we cannot be held responsible for associated costs if an experience is cancelled, rescheduled, or altered. Comprehensive travel insurance is strongly recommended.

11) Photography & Media

During experiences we may take photographs or short video clips for documentation and promotional purposes. These may be used on: • our website • social media • promotional materials. Participants may opt out at any time and we will respect this request. Images will never be used in a misleading, defamatory, or harmful manner.

12) Data Protection (GDPR)

Personal data is processed in accordance with the EU General Data Protection Regulation (GDPR). Information collected may include: • name • contact details • payment information • relevant health information voluntarily provided. Data is used only for booking administration, communication, and safety purposes. To request access, correction, or deletion of your data please contact: andy@keenastro.com

13) Governing Law

These terms and conditions are governed by the laws of Malta. Any disputes arising from participation in our experiences shall fall under the exclusive jurisdiction of the courts of Malta.
